Outlook - Missing Categorize button in Outlook 2007

Asked By Dan Miller on 01-Mar-10 10:06 AM
MS Office Outlook 2007 12.0.6514.5000 on Windows 7

On the Mail/Inbox screen, I don't see the Categorize button on the Standard Toolbar, nor can I find it in Tools -> Customize -> Commands.

Any suggestions?

Thanks

You can always choose to Reset the menu, to see if some other action would have messed it up.

To Reset, Go to Tools - Customize . Click on Rearrange Commands. And then choose Edit in the Menu Bar. And click on Reset button.

Hope that helps.

Thanks - I tried it, but that does not make Categorize reappear in the Edit menu.

Under the Tools menu, go to the Trust Center and select Add-Ins.  Verify that you don't have any add-ins that is disabled that is related to Categories.  If so, just enable it and see if the Categories gets enabled.

Also, here's a link that had a similar issue.

I don't have any disabled Add-Ins:

The reference you mentions suggests: [HKEY_CURRENT_USER\Software\Policies\Microsoft\Office\12.0\Outlook\Preferences]
"SendPersonalCategories"=dword:00000001

Do I really need to edit the Registry to see this icon? Shouldn't it be there by default (as documented in lots of places)? Note in HKEY_CURRENT_USER\Software\Policies\Microsoft I only have a SystemCertificates and a Windows subfolder, but not an Office subfolder.

Thanks

OK, I see what's going on, but would still appreciate a workaround.

The Inbox I'm referring to is a secondary Inbox that is connected via IMAP to a web-based email server. The Categorize button is not visible for that folder, nor are the categorization indicators (small boxes in the list of email subjects/dates/senders). The button IS visible for other folders (e.g. copies of email composed and sent via Outlook, and old archived email) as are the categorization indicators. Note that I can categorize an email message in some local folder and copy it to the IMAP Inbox - although the categorization  is not displayed in the summary (no little box to indicate it), the individual message pane does indicate the category right below the sender. I can't change it, however.

Should I be able to display and edit categorizations of messages in a remote email folder?

Thanks

I'm going to answer my own question, in case anyone else is trying to figure out the same problem. This all applies to Outlook 2007.

It is indeed an issue of categories not being supported in IMAP folders.

However, you CAN assign and display categories on a per-folder basis, at least locally. When displaying a particular folder, select View -> Current View -> Customize Current View. Click the Fields button in the resulting dbox. In the resulting Show Fields dbox, select Categories in the left list and hit the Add button to add it to the right list. I suggest moving it to the last position.

Assuming you started with the default set of fields, this will put the small customize box just to the left of the flag for each message summary. If you have a 2-line summary, the category name will probably fall onto the 3rd line where you won't see it (which is what I want, anyway). Right click on a customize box to set the category for the given message.

This customization will need to be done individually for every IMAP folder.

The category assignment will be persistent for a given message as long as the message remains in the same folder. If it is moved to a different IMAP folder, the categorization will be lost and will need to be manually reassigned. At least that's what I've seen.

Further discussion can be found in http://blogs.msdn.com/outlook/archive/2008/03/06/what-s-your-favorite-flag.aspx

Good luck.

Hi

I have problems with categorizations being lost (not persistent) in forwarded messages or replies.  This happens even if I move the message to a personal folder, categorize, then reply or forward.  The new message appears in the same folder but has lost all categorizations.

This is driving me nuts because it makes use of catergories instead of folders unuseable - I don't want to have to spend time applying the same categories back to replies and forwards, especially now that it takes more keystrokes to add the caterories in the first place.

Thanks for any advice
Mary

I want to thank you for this, have been driving myself crazy trying to figure out why Categories didn't show up.  Also note that follow-up flags is only 1 flag, not full listing and reminder, except in INBOX, not for specific IMAP folders.  Maddening.
