Microsoft Excel - How to show datas in a column to be shown as "X" as I want it to be not seen by outsiders?

Asked By fifi sachiko on 13-Feb-14 08:28 AM
Hi,
Need help in excel.

Wanna hide the actual numbers but result it as an "X". Anyone can help? Kinda urgent.

For example

Column A          Column B
Monday                   10

I want to hide the number 10 to be shown as "X".

Hi fifi,
I think your only option would be to hide the whole column and protect the sheet.  If they can access the cell they can access the data regardless of how it might be obfuscated.
However, if you don't see that as a problem then you could set the font to something like Wingdings which will show that there is something there.  Another alternative would be to use conditional formatting the colour the cell to show that there is something there and have the font colour the same as the cell colour.  That is a white cell is empty /zero a shaded cell has a value.
Hope this helps.
Harry
PS Another is to define a custom format "x".

Hi,

Your method can still show the exact values as they can highlight/change the font of the values.
Is it possible for Microsoft Excel to not hide the values but show it as an encrypt values like "X"?

Hi fifi,
It depends whether the values are going to be used for anything else and if they are not then why bother showing them at all.  Hence my suggestion to hide the column and protect them.  This is only secure from somebody who has almost no knowledge of Excel.
It is possible to disguise (I hesitate to say encrypt) values using a VBA function but that then makes them unusable without going through a decrypt stage.  This might be slightly more secure but would be easily gotten around by somebody with a modicum of knowledge of VBA.  This can be made slightly more secure by protecting the VBA code but once again this is not impenetrable.
So I get back to the question, why does there have to be any value in ColumnB?  Perhaps if you explain your rationale and application in more detail it might be possible to make other suggestions.

Hi Harry,

Column B needs to be seen as people will know that they had already insert the data inside that column. But once they insert the data, data should be shown as confidential.

The column should not be hidden as other people needs to type in the other data. So use a password on the sheet as there are many user using it.

If using VBA, may I know what is the coding for it?

Thanks

Hello fifi,
So, the cells only contain data that is input by users.  Is this data used elsewhere in the workbook?
If it is, then I am thinking that a solution might be to use VBA to store the entered value elsewhere in the workbook (on a hidden protected worksheet) and to change the entered value.  This would not be super secure against anybody with a bit of knowledge but then again Excel is not the place to be storing data that requires super security.
Do you think this would meet your needs?

Hello fifi,
Here is a file with an implementation, when a value is entered in columnB (Rows 2 to 1000), the value entered is stored on Sheet2 in the corresponding cell and the value in the original cell is changed to X.
You will have to decide what security you implement on Sheet2 to protect the data from prying eyes.

Thanks alot.
